Departmental Overview
The Haas School Business ("Berkeley Haas") is one of the pre-eminent business schools in the world. The school employs 80 FTE ladder faculty, 130 professional faculty and 230 FTE staff serving 2,200 students in six degree programs ? three of which are "self-supporting." In addition, the school is home to a strong and growing Executive Education unit which serves both domestic and international executives. Berkeley Haas supports a multitude of research, teaching and public service institutes as well as two research laboratories, the Long Business Library, and an on-site caf?. Staff is organized across many functions including admissions, career services, computing, financial aid, student affairs, payroll, business services and facilities. The school provides business and financial leadership/expertise to the campus and is served by an international advisory board of business and industry leaders.
The school's annual budget is in excess of $150 million and boasts an endowment of more than $300 million. The complexities of the school's finances include non-state funded faculty FTE, self-funded degree programs (and corresponding independent fee approval and registration processes), over 300 funds of all types (central, student fees, recharge, gifts, endowments (held at both the Regents and Berkeley Foundation) contracts and grants), and multiple loan programs some of which are self-funded and insured. Further, the Berkeley Haas senior staff, Dean, faculty and advisory board demand robust year-end financial statements. In short, the school has the highest standards for financial management AND it has an incredibly complex professional school financial system given the unique activities of the school.
Support the Director of Advancement Services in the Haas School of Business Advancement Services office in the areas of gift and biographical information management, data acquisition and reporting and provide administrative support to unit. Work from Footprints customer request work queue to perform data enrichment services to the Haas School of Business donor/alumni constituents in the CADS Alumni Donor database. Provide Footprints queue management support and reporting to the Advancement Services team. Support Director and team administratively (i.e. set meetings, prepare and process purchase orders or distribute meeting materials). Serve as back up to the Gifts and Acknowledgement Coordinator. Position reports to the Director of Advancement Services.
Data Maintenance
As directed, work from data maintenance plan to perform data enrichment services to donor/alumni records. Services include: Email appends, lost alumni research, decease verification, cell and home phone research, employment research and address updates.
Work from customer queue to perform data research to find lost constituent information
Verify donor and constituent information with Development and Alumni Relations staff. Perform audits to ensure data accuracy and completeness.
Coordinate and process data analysis and entry projects; operate and maintain a computer and database system; enter donations into the computer, maintain database integrity and gift lists; adhere to system operations.
Add new constituent records to the database as needed, analyze information and populate all appropriate data fields where information is available.
Visual Reporting ? using Tableau
Analyze HAAS DW (Haas Data Warehouse) data extracts to create visual style reports ? use tools such as Tableau, PowerPoint, Publisher, Prezi, etc.
Analyze various data sets to create presentation slides and reports for donor and alumni workshops and retreats.
Create weekly Footprints work reports ? metrics reporting
Manage monthly database health report and distribution
Administrative Support
Provide administrative support to Director and Advancement Services team. Schedule meetings and maintain complex calendar. Support meeting logistics such as scheduling rooms, travel time and make copies for supporting materials. Set up A/V as needed.
Make travel arrangements and prepare travel and entertainment documents.
Working with Business Services and various vendors prepare purchase requisitions for purchasing services, office supplies and/or software or equipment.
Maintain confidential files for Director
Maintain Gift and Donor files for unit
Prepare correspondence on behalf of Director
Stewardship/Gift Acceptance and Administration Support
As needed, produce standard and custom acknowledgement letters for all gifts received in a timely and accurate fashion.
Prepare policies and procedures as directed by the Director of Advancement Services.
Serve as back up to the Gift and Acknowledgements Coordinator to enter gifts into the GMM system to be formally accepted and receipted/acknowledged.
Organize, coordinate and maintain the integrity of hardcopy filing system.

Previous experience working in a Development/Advancement Services role

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
