We are a small privately-held firm located in downtown Berkeley seeking an Administrative Assistant to provide in-office administrative support.
The successful candidate must be able to handle a very busy, fast-paced, high-volume desk with a wide variety of duties, and have strong organizational skills with the ability to set and manage priorities and deadlines.
Exceptional attention to detail and the ability to problem-solve is a must!!!
Responsibilities:
General administrative duties such as monitoring voice mail/new project requests, processing mail, filing (on-site and at our off-site storage facility), copying, scanning, ordering supplies, stocking refrigerator; loading paper and replenishing toner in copier; Data entry using various software programs; Proofreading word documents for correct sentence structure, grammar, etc.
; AP:
receive invoices, procure proper approvals, enter in accounting software, and process payment; AR:
process weekly invoices, process client receipts in accounting software and make deposits; Maintain a neat and tidy front office, desk, workspace; and Other projects, as assigned.
Qualifications:
Two years of experience in office administration, AP/AR, preferably in the A&E industry - however, we are willing to train; Excellent communication skills, including the ability to interface successfully in person, virtually, or via email with managers, team members, clients, and the guests/visitors; Knowledge of MS Office, Adobe Acrobat, (Illustrator and Photoshop, a plus); Strong organizational and time management skills, ability to handle heavy and varied workload; Attention to detail; Strong work ethic - Punctual and dependable, willing to follow standard office practices and procedures take direction from a variety of people, and work independently; and Physical requirements:
Ability to climb step ladder to retrieve overhead files/boxes and ability to lift 35 pounds.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
